This tutorial is designed to help you create and load a calendar of your own events for our site. You'll need to have internet access, and preferably a fast internet connection for large, detailed calendars.

Determine Your Need
Just want to add a single event?
We recommend you email us directly and we will add your event to the calendar.

Want to maintain your own calendar of events?
You'll need to get a username and password for the calendar system. You may request one from either peter@gaylordheraldtimes.com or darren@gaylordheraldtimes.com.
Calendar use is currently limited to community groups or organizations. Schools, churches, government, sports teams, and event organizers are invited to participate.

 
Getting Required Tools
You'll need to have either Mozilla Sunbird (Windows or Mac), or Apple iCal (Mac) to create and maintain your calendar files. You may need to install the software of your choice.

Download Mozilla Sunbird.

 
Getting Ready

Open your calendar program.

In Sunbird, you'll probably want to switch to calendar view and month view, as this makes later steps easier.

In iCal, you'll want to switch to month view by clicking the "Month" button at the bottom of the window. Also, turn on the Info pane by clicking on the "(i)" button.

 
Create a new Sunbird calendar
1. Create a new calendar by right-clicking (control-click for Mac)
in the Calendar sidebar and choosing "New Calendar..."

 
2. In the window that pops up,
choose "On the Network" and click "Next >"

 
3. In the Format window, choose "iCalendar (ICS)" and provide the following location:

http://www.gaylordheraldtimes.net/caldata/Name.ics

Replace "Name" with a unique, descriptive name for your calendar. Avoid spaces, and name it after your organization. Click "Next >"

 
4. Assign your calendar a nickname and pick a color if you choose. Note: choosing a color only affects your local calendar. Click "Next >"

 
5. On the next screen, click "Finish".

6. Click on your calendar's name in the calendar sidebar to activate it.

 
7. Right-click on the day where you want to create your first event and choose "New Event..."

 
8. In the New Event window that pops up, click the "More > >" button to get more New Event options.

 
9. Begin filling in your New Event information. The only information accepted by our calendar are the Title, Location, From, To, All Day, Repeat, Description, and URL fields. Other data will probably not be included. Include time and date information in the description. After filling out all relevant info, click "Ok".

 
10. The next window will require you to input the user name and password you received from us. You'll also want to check the "Use Password Manager" checkbox.

 
11. That's it! Your event is added. Check the website to see the results. You can add more events by following steps 7 and 9 again. Events should be automatically updated when you edit your calendar.

Publish an existing Sunbird calendar
1. To publish an existing calendar, right-click on the calendar name and choose "Publish Calendar..."

 
2. In the Publish Calendar window, type in your calendar name in Publishing URL field, something like http://www.gaylordheraldtimes.net/caldata/Name.ics
Replace "Name" with a unique, descriptive name for your calendar. Avoid spaces, and name it after your organization Click "Publish" and then "Close" when the publish process is complete.

 
3. You may be required to input the username and password you received from us.

Publish an iCal calendar
1. Create a new calendar by right-clicking (or control-clicking)
in the Calendar sidebar and choosing "New Calendar"

 
2. Give your calendar a unique, descriptive name.

 
3. Right-click on your calendar's name and choose publish.

 
4. In the window that pops up, in the "Publish on:" field, choose "a Private Server".
For the Base URL:
http://www.gaylordheraldtimes.net/caldata/

Enter the login and password information we provided you. Make sure that "Publish changes automatically" and "Publish titles and notes" are checked. Finally, click "Publish".

 
5. If the publish was successful you should get a "Calendar Published" dialog box.

 
6. When you are ready to create new events, right-click on the appropriate day and choose "New Event".

 
7. Fill in all the appropriate information in the Info pane.

Make sure to adjust the start and end times, iCal defaults to 12am and 1am. The Attendees and Alarm fields will be ignored. You may include a URL to your website if you like.

 
8. That's it! Your event is added. Check the website to see the results. You can add more events by following steps 6 and 7 again. Events should be automatically updated when you edit your calendar.
